COMMITTEE RESPONSIBILITIES

  • Parent participation is required for a child’s eligibility in the show
  • One adult from each family must complete their specified days of set construction (number of days dependent on show) in addition to committee-specific requirements
  • One adult from each family must participate in either load in or strike to move equipment, set, costumes, props, etc. to/from the theater. Load in and strike are an all day commitment. Specific committees are required to do both. Each family is also required to participate in warehouse duty.
  • Failure to fulfill parent participation requirements will prevent a child from being cast in future BCCT productions. Parent participation is required for a child’s eligibility in the show.
  • Please do not bring other children (even if they are siblings) with you while you are fulfilling your committee responsibility. There is limited space and your focus needs to be on the task you have been assigned.
  • Please do not substitute a spouse or another person without speaking to your committee chair BEFORE the date of the switch.

 

COSTUMES (Sewing helpful but not necessary)

TIME REQUIREMENTS:

  • One night pre show to meet with director, costume designers and/or committee chair about the vision for costumes and define areas of responsibility
  • Time appropriate to work on costumes necessary for the production
  • All nights during tech week
  • Two to three shows (per schedule)
  • Set Strike to return materials/items taken from warehouse and reorganize and pack rented materials for return shipment.

RESPONSIBILITIES:

Chairperson

  • Oversee committee by making sure all costumes are completed and ready one week prior to tech week so adjustments can be made and costumes are ready on the first day of tech
  • Oversee collection and organization of cast size/measurement sheets
  • Prepare list of costumes by scene
  • Prepare a work schedule for shows prior to ticket sales and make sure schedule is adhered to by those scheduled (with at least two persons backstage during each performance)
  • Oversee the collection and return of BCCT costumes to and from the warehouse
  • Oversee the return of rental costumes in a timely manner as prescribed by contract
  • Oversee cleaning of costumes

 

Committee Persons

  • Attend costume committee meetings with the director, costume designers
  • Assist costume designers as assigned by chairperson
  • Organize and distribute costumes (both BCCT and rental)
  • Assist in dressing rooms during tech week and show nights
  • Collect costumes after show (both BCCT and rental)
  • Sew and/or create costumes not rented

 

 

CHILD CARE/FUNDRAISING

TIME REQUIREMENTS:

• Three to four nights of during tech week (per schedule)

• Two to three shows (per schedule)

• Load in—can be committee member or other parent

 

RESPONSIBILITIES:

Childcare Chairperson

  • Prepare a work schedule for shows prior to ticket sales and make sure schedule is adhered to by those scheduled

 

Fundraising Chairperson

  • Develop and seek President’s approval for fundraising initiatives as necessary
  • Assign responsibilities to committee members as deemed appropriate to fulfill the purpose of the committee
  • Ensure all fundraising materials are ready for the first show including but not limited to raffles, tickets, “stars”, “candy-grams” and other supplies
  • Oversee all other fundraising efforts relating to the show (special events, T-shirts, etc.)
  • Arrange coverage for tech week/shows with childcare chairperson

 

Committee Persons

Childcare:

  • Keep children quiet backstage
  • Make sure children are on stage when called
  • Make sure children are supervised at all times
  • Make sure no one is in the dressing rooms who are not supposed to be there
  • Check costumes after call to make sure everything is neat and tucked in and zippers zipped
  • Make sure children do not have any unauthorized food or drink; you MUST take it away if they do
  • Make sure the dressing rooms are cleaned up after each tech night and after each show
  • Make sure children hang their costumes and help with the organization of the costumes
  • May be required to assist at the set strike in order to make sure dressing rooms are clean

 

Fundraising:

  • Assist in preparation of fundraising items/materials during tech week if assigned
  • Assist in sale of raffles, “grams”, flowers, 50/50, etc. before shows and during intermission if assigned
  • Solicit advertisers for the program

 

 

HAIR AND MAKE UP

TIME REQUIREMENTS:

  • One to two nights pre show to meet with the director and/or committee chair about the vision for hair and make up
  • Three to four nights during tech week (per schedule)
  • Two to three shows (per schedule)
  • Set Strike — can be committee member or other parent

 

RESPONSIBILITIES:

Chairperson

  • Prepare a work schedule for shows prior to ticket sales and make sure schedule is adhered to by those scheduled
  • Research different make up techniques to meet with the director’s vision
  • Oversee purchase of needed make up (you will need approval and will be reimbursed)
  • Oversee purchase of needed wigs (you will need approval and will be reimbursed)

 

Committee Persons

  • Apply make up back stage during tech week and shows
  • Make sure hair/make up is in the correct style before children go on stage

 

 

PROPS

TIME REQUIREMENTS:

  • One night pre show to meet with the director and/or acommittee head about the vision for props
  • Time appropriate to work on props necessary for the production
  • All nights during tech week
  • Two to three shows (per schedule)
  • Set Strike — return materials/items taken from warehouse and reorganize/put away

 

RESPONSIBILITIES:

Chairperson

  • Oversee committee by making sure all props are completed and ready for use one week prior to tech week so adjustments can be made and props are ready on the first day of tech
  • Prepare list of props by scene
  • Prepare a work schedule for shows prior to ticket sales and make sure schedule is adhered to by those scheduled
  • Oversee the pull of props and return of props from/to the warehouse

 

Committee Persons

  • Create and/or purchase props necessary for the production
  • Preset props on stage where and when needed
  • Work backstage to make sure children have props they need for each scene
  • Pull and return props from/to warehouse per chairperson’s request

 

 

STAGE CREW

TIME REQUIREMENTS:

  • Load in and Set Strike
  • Run through
  • All of tech week
  • Two to three shows (per schedule)

 

RESPONSIBILITIES:

Chairperson

  • Prepare a work schedule for shows prior to ticket sales and make sure schedule is adhered to by those scheduled
  • Prepare list of scene changes by scene
  • Prepare list of scene changes by person (who moves what and when)

 

Committee Persons

  • Work backstage moving set pieces on and off the set as quickly as possible
  • Load in and Strike

 

 

SET CONSTRUCTION: Experience in building and painting not necessary

TIME REQUIREMENTS:

  • Load in and Set Strike
  • Two to three days per week

 

RESPONSIBILITIES:

Chairperson

  • Prepare and maintain work schedule for shows and make sure schedule is adhered to by those scheduled
  • Update schedule changes as they arise

 

Committee Persons

  • Building and painting of set
  • Load in and Strike
